Academy Vets Centre is dedicated to protecting your data and respecting your privacy.  Please read the following carefully and let us know if you have any questions either by email vets@academyvets.co.uk or by phone on 01776 703131 (within surgery hours please). 

 

This Policy explains when and why we collect personal information about you when you visit our website or the surgery, how we use it and how we keep it secure.  This policy should be read in conjunction with our “Terms and Conditions”. 

 

As your chosen veterinary surgery, we have a legitimate interest in processing your data to enable us to provide our veterinary services to clients and remain compliant with the requirements of the Royal College of Veterinary Surgeons (RCVS). 

 

With your consent we will send you emails, text messages, or postal communications on offers and promotions, which may be of interest to you, or treatment and vaccination reminders

 

Your personal information is also necessary in relation to a contract or agreement which you have entered. Which may include:

o    Joining our healthcare plan

o    Taking out a finance agreement

For credit control reasons additional information may be held, such as bank details, a copy of proof of ID and address.  This information will be securely stored for the duration of your debt.

         

Information we collect about you

 

When you register a pet with us:

The personal information we collect might include your FULL name, postal address, email address and mobile phone number

 

When using our website:

We might collect your IP address and information regarding what pages are accessed and when.  Our site uses cookies to help us to improve our site and your browsing experience. It is possible to switch off cookies by setting your browser preferences.

 

CCTV and Audio recording

We digitally record images for the safety of our staff, our clients, their pets, and the monitoring of the security of premises.

 

How do we use your information?

 

We may use your information to:

  • contact you about your pet’s treatment (i.e. vaccinations, flea & wormers)
  • contact you about promotions or offers which may be of interest to you
  • contact you about your account, or credit status.
  • carry out our requirements arising from any contracts entered between you and us (i.e. our Health Care Plans)
  • seek your views or comments on the services we provide
  • notify you of changes to our services
  • process a cv application
  • training and security purposes
  • to track use of web pages

 

Where we store your personal data

 

The information which you provide to us is stored within our practice management system, Robovet.   Staff are trained to keep your information secure and are all bound by our confidentiality agreement. 

How long do we store your data?

 

We will hold your personal information on our practice management systems for as long as is necessary (i.e. for as long as you are a client, or for as long as is set out in any relevant contract you hold with us (i.e. our Healthcare Plan). 

 

Disclosure of your information

 

We will not sell or rent your information to third parties.

We will not share your information with third parties for marketing, or any other purposes.

 

Should we need to send samples away to a laboratory for further tests or refer your pet for further treatment we may disclose your personal information to other veterinary surgeons and recognised laboratories with your permission.

Our website may contain links to other websites run by other organisations. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.

 

Your rights

You have a choice about the type of information you receive from us.

 

You have the right to access information held about you. If you wish to see a copy of your data, please contact us or visit your “Pet Portal” through our website.

 

You have the right to request the movement of your data from one veterinary surgery to another but we will only transfer data to another surgery with your consent.

 

We will only send you direct marketing communications by email, phone or text message about new products and services if you have consented to receive them. We will ask you to confirm your consent to receive direct marketing when you first register with us and again at each visit to the surgery.

 

You can change your marketing preferences at any time by contacting us by email vets@academyvets.co.uk, visiting your “Pet Portal” though our website, or by telephone on 01776703131.

 

You have a right to complain to the ICO if you think there is a problem with the way we are handling your data.

 

The accuracy of your information is important to us. If you change email address, or any of the other information we hold is inaccurate or out of date, please let us know.  It may be an inconvenience, but it is a requirement we check the details we hold are accurate from time to time.
